One of the most common organizing complaints I hear from clients is that email is consuming them. Hundreds of "you've got mail" messages arrive daily and it's not usually all spam either. Whether it's social chit-chat, on-line subscriptions or business inquiries it takes time to sort, read and take action on. So what's the SMARTcutTM way to email freedom? Read on.... 1. Unsubscribe from email that is not useful and use "rules" to auto file emails for quick access. Set a separate email account for subscription. Make a special email folder for clients so their messages are easy to see at a glance. 2. Reduce the time you give email by checking your inbox less often. Turn off the alert bell and pop up notifications so you aren't tempted to become distracted from the task you are working on. 3. What can you delegate? Use a special email address to send business inquires to your assistant or VA. Some have their VA batch emails they are not able to respond to. This means you get ONE email from your VA containing only what she can't handle. 4. Do it now. Take a minute (or less) to take action on incoming messages. Add the event to your calendar (w/ the contact info/phone number). Make a decision about it. Scan for info and delete. 5. Create a task list for items that require more time to handle. Customize your list into Master Tasks (long term) and Weekly Tasks (short term). Whenever possible put the action right on a specific date instead of adding to a long list. 6. Re-evaluate your values. Think about what is important to you and see what email is incongruent with your primary values.
